At Odiware Technologies Private Limited ("Odiware", "we", "us"), we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, share and protect personal information when you:

• use our ERP implementation, consulting and professional services
• use our mobile application, Odiware ESS (Android package: com.odiwarebbsr.ess; also available on iOS)

1. Information We Collect

a) Website and business services

• Contact information: name, email address, phone number and company details you provide through enquiry forms or communication with us.
• Business information: details about your business operations, such as company size, industry and business processes.
• Technical information: IP address, browser type, device and operating system.
• Usage data: how you interact with our website, such as pages visited.

b) Odiware ESS mobile app

Odiware ESS is an Employee Self-Service app. It lets employees of organisations that use Odoo ERP ("your Employer") access their workplace information. The app handles:

• Sign-in information: server address, database name, username or email, and password. The session token is stored in the device's secure storage (Android Keystore / iOS Keychain).
• Employer-provided HR information: information held on your Employer's Odoo system and controlled by your Employer. Depending on the features enabled, this may include your name, job title, department, manager, profile photo, attendance records, leave requests and balances, payslips and salary details, expense claims with receipts, and approval requests.
• Location: your precise or approximate location (GPS latitude and longitude) is read only when you tap Check In or Check Out, and is stored with your attendance record. The app does not collect location in the background and does not track your movements.
• Photos and files: receipt photos you take with the camera or choose from your gallery for expense claims, and payslip PDFs you download to your device. The app only accesses the images you choose.
• Device information: device model, operating system version and app version, used for compatibility and troubleshooting.

The app does not access your contacts, SMS messages, call logs, microphone or advertising identifiers. It contains no advertisements and no third-party analytics or tracking tools.

2. How We Use Your Information

We use information to:

• provide and manage our ERP and professional services
• respond to enquiries, requests and support issues
• improve our services, website and app
• send updates and relevant communications (you may opt out of marketing at any time)
• keep our services secure and meet legal obligations

In the Odiware ESS app, information is used only to:

• sign you in and keep your session secure
• show your attendance, leave, payslip and expense information
• record attendance with location and show the address of your check-in
• submit expense claims, leave requests and approvals
• show notifications such as approval updates

We do not use app data for advertising.

3. Data Sharing and Disclosure

We do not sell, rent or trade your personal information. We share information only as follows:

• Your Employer (app users): information submitted through the Odiware ESS app, such as attendance, check-in location and expense claims, is sent to your Employer's Odoo system. Your manager and authorised HR or administrator users can see it.
• OpenStreetMap (app users): to show a readable address for your check-in, the app sends only the location coordinates to the OpenStreetMap Nominatim service over a secure connection. No name, account or employee details are sent.
• Service providers: trusted vendors who help us deliver our services, such as hosting, data storage and customer support.
• Security / bot protection: our website enquiry forms use Cloudflare Turnstile to prevent spam. Cloudflare may process technical information (such as IP address and browser signals) only for this security check. For more details, see Cloudflare’s Turnstile Privacy Addendum.
• Legal compliance: where disclosure is required by law, a court order or a government authority.
• Business transfers: in the event of a merger, acquisition or sale of assets, information may be transferred and will remain protected under this policy.

4. Data Security

We use industry-standard security measures, including encryption, firewalls and secure servers, to protect information from unauthorised access, alteration, disclosure or destruction. All communication between the Odiware ESS app and servers uses encrypted HTTPS connections, and sign-in credentials are kept in the device's secure storage. No system is completely secure, but we work to protect your information.

5. Data Retention

We keep personal information only for as long as needed for the purposes it was collected for, or as required by law. For Odiware ESS app users:

• information stored on your device is removed when you log out or uninstall the app
• HR, attendance (including check-in location) and payroll records on your Employer's system are kept according to your Employer's policies and legal requirements

6. Your Rights and Choices

You have the right to:

• access, update or correct your personal information. App users can correct HR records through their Employer's HR department.
• request deletion of your personal information, subject to legal exceptions
• opt out of marketing communications at any time
• allow or revoke the app's location, camera and photo permissions at any time in your device settings (Settings > Apps > Odiware ESS > Permissions). Some features, such as location-based check-in, may not work without them.

Account and data deletion (Odiware ESS): to request deletion of your app account and associated data, email sales@odiware.com with the subject "Delete my ESS data", and include your name, company name and registered email. We will respond within 30 days, working with your Employer where data is held on its system. Some records, such as payroll and attendance, may need to be kept by your Employer to meet legal or statutory obligations.

Where applicable law, including India's Digital Personal Data Protection Act, 2023, gives you additional rights, we will support you in exercising them.

7. Children's Privacy

Our services and the Odiware ESS app are intended for businesses and their employees. They are not directed at anyone under 18, and we do not knowingly collect information from children.

8. Third-Party Links

Our website and services may contain links to third-party websites. We are not responsible for their privacy practices or content, and we encourage you to read their privacy policies.

9. Updates to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The updated policy will be posted on this page with a new effective date.
